When the Phone System Quits, It Stops on a Monday

About half our calls start the same way. A business has been running on a legacy phone system: Avaya Partner ACS, TelRad, Panasonic KX-series, whatever was installed 12 years ago by a vendor who's now gone. The system stops working. Nobody knows the admin password. The company that originally installed it either shut down or stopped picking up the phone. The business needs to be back up today.

The other situation is businesses that have been on personal cell phones since day one. Customers call a number that shows a first name on caller ID. There's no way to transfer a call. When someone calls out sick, their calls don't get answered. Something eventually breaks the pattern (a missed customer, a new hire who needs a number) and the decision gets made.

Both land in the same place: a cloud VoIP system that runs on your internet connection, requires no on-site hardware to maintain, and takes one day to install.

Is Your Phone System Putting Your Business on Hold?

Intermedia Unite, the platform behind our cloud phone installations.

Why Businesses Switch

WhatChangesonDayOne

01

No Hardware to Fail

Cloud VoIP keeps no PBX on-site. When a legacy system dies, the business stops with it. When the cloud has a problem, you pick up on your cell phone and keep going. No parts to order, no service calls to schedule.

02

Works Where You Work

Desk phones, mobile apps, or both. Take and make business calls from the job site, the car, or home. Your business number shows on caller ID, not your personal cell.

03

Multiple Locations, One Account

Transfer calls between locations, share extensions, and let one location cover calls for another. Works the same whether both offices are a mile apart or across the county.

04

Configured Right on Install Day

QoS prioritization, VLAN setup for voice traffic, E911 registration, and number porting are all part of every install. Every extension gets tested before we leave.

What Will Your Setup Cost?

A 10-user office typically runs around $220/month for service plus roughly $1,200 one-time for phones and installation. Use the estimator below for a number closer to your setup — or see the full cost breakdown.

Why Go Through a Local Installer

WhatHappensonInstallDay

Intermedia is available through other channels. The difference is what happens the day you go live.

QoS configuration on your router prioritizes voice traffic so calls don't compete with everything else on the network. VLAN setup separates voice from data. E911 registration ties your address to the system. Number port planning, which means getting the timing right so service doesn't gap, takes coordination that's straightforward once you've done it.

None of this is difficult. But it's the kind of thing that, if it's done wrong, causes a phone system to work badly for years and nobody figures out why. We test every extension before we leave.

A Note on Cabling

When we show up to a space that hasn't had any cabling work done, the wiring is usually worse than the customer expects. Cat3 from the 90s. Runs that daisy-chain through wall jacks instead of home-running back to a panel.

VoIP is an IP device. It needs proper Cat5e or Cat6 back to the switch, or call quality will degrade regardless of what service plan you're on. We assess this on the walkthrough and tell you upfront what needs work.

Not a scare tactic. Some offices need a full recable, and some don't. But it's better to know before install day than after.

No Runaround

LocalSupport.

We're a Tampa Bay-based team. When you need support, we answer. When your phones need service, we show up. You're not on hold with a call center in another state.

Big carriers will sell you a phone system and then make it very hard to get help. We work with businesses that have been stuck in exactly that situation, locked into a contract with no recourse. That's not how we operate.

Every install is different. We set up the system to match how your business actually works, not how a sales template suggests it should.

Common Questions

Frequently Asked Questions

Most setups for a 4-10 user Florida office run $89-$220 per month for service, with the phone line included. Equipment is typically $60-$200 per desk phone depending on the model. Installation is a one-time cost that varies by office size and cabling situation. Use our cost estimator at /business-phone-systems/cost for a number specific to your setup.

Yes. Number porting is a standard part of every install we do. We handle the paperwork and coordinate the cutover timing so your customers experience no interruption in service.

We configure failover routing during setup so calls ring to designated cell phones when your building loses internet or power. It's Florida. That's built into the plan from day one.

Not always. Many setups use mobile apps instead of desk phones, or WiFi VoIP phones that just need power and a WiFi connection. If you want hardwired desk phones, we assess your cabling on the walkthrough. Some offices need Cat5e or Cat6 runs; many don't.

We service existing Avaya installs for current customers. For new customers, we install Intermedia cloud VoIP. It covers everything the legacy hardware did and more, without parts and programming costs. If you have a system that can't be programmed because the original vendor is gone, that's actually the most common situation we deal with.

The Intermedia platform supports up to 1,000 users on a single account. The practical sweet spot for local small businesses is 1-50 users. For teams over 50, we typically recommend a direct consultation before quoting.

POTS (Plain Old Telephone Service) is the traditional copper phone line that runs to your building. VoIP sends calls over your internet connection instead. Florida carriers have been decommissioning POTS infrastructure, so businesses that haven't switched are increasingly finding the lines simply stop working. Cloud VoIP typically includes auto-attendant, voicemail to email, call recording, and mobile apps at a comparable or lower monthly cost.

When your caller ID shows "VoIP caller," it means the incoming call was placed over the internet rather than a traditional phone line. Most modern business phone systems use VoIP. The call quality is the same or better than a landline. The label is just how some carrier networks display the call type.
